Signature Management 2.0

Introducing Signature Management 2.0 - INKY's latest signature update brings new customization options and user controls for a more tailored email signature experience. Now, admins can arrange company and user details to reflect their brand's style and allow users to adjust specific fields as needed. Enhanced options include Social Media icons, maximum image height for logos, vertical separators, customizable phone number labels, and license or fine-print fields. With these updates, admins can create professional, cohesive signatures across the organization while maintaining brand integrity and user flexibility.

Custom Arrangement of Company and User Details

We've heard the feedback that customers want to arrange the data fields available to them in a manner that fits their company's style and aesthetic appeal. With INKY's new Signature configuration tools you're able to design your organization signature as you see fit.

Simply navigate to the Signature Layouts section of Email Signatures - INKY and select “Use custom arrangement of data fields for company and user details” to get started.

With our new Signature builder, you'll be able to:

  • Add as few or many rows
  • Add a second column to split user and company information if desired
  • Move rows up and down
  • Select specific data to go into each row
  • Customize the Separator values (e.g., “|”)

User Signature Settings Customization

Users have always had the option to opt out of their own personal signature, while a company signature was still required. We've given more control to admins now with the ability to enforce user signatures with multiple options and configure which fields should be user modifiable.

Admins have the option to Require User Signatures by default or allow them to opt-out or opt-in. If a team wants to impose a standard signature for all of their users, then the new Required option is there to help.

We've also enhanced the configuration at an individual field level giving you more control over what end users are able to edit or use in their signatures.

Available options are:

  • User Modifiable (available to edit by an end user in the user-center)
  • Read-Only (will show as grayed out in the user-center)
  • Unused/Hidden (won't be shown in the user-center)

You can also enforce if the data should be pulled from the available API (Microsoft or Google).

Social Platform Icons

First class support for Social Media Icons is now generally available. Configure your organization's socials based on your preferred rendering. Once added you can then add them to your custom signature arrangement using the builder.

Enforce a maximum image height for both the Logo and Footer images. The image will stay the same aspect ratio while the height is adjusted.

Vertical Separator between Logo Image and Signature

Under Styling & Formatting you'll find a new “Include a vertical separator…” option that lets you set a line between the Logo Image and the Signature. It can be customized by the pixel width and the color.

Phone Number Display Settings

Customize the prefix (e.g., W:, M:, F:,) for Work, Mobile, and Fax numbers. The fields support basic HTML if you want to get custom or paste in an emoji and it'll just work!

Licenses or other fine-print

Some organizations may need to display state licenses on every email or other fine-print information. There's a new field within the Team Signature Data that supports adding it across all signatures. Take a look at the above picture below the Social Media Icons as an example.
